Privacy notice


Information pursuant to Articles 13 and 14 of the General Data Protection Regulation (GDPR).

This is a courtesy translation. The German version of this privacy notice is the legally binding one.

1. Controller

2. Principle: this website collects as little as possible

This website is deliberately built as a static site without tracking. Specifically:

  • No cookies are set.
  • No web analytics — no Google Analytics, no Matomo, no tracking pixels.
  • No social media plugins, map services or embedded videos.
  • All fonts are served from our own server. There is no connection to Google Fonts or any other content delivery network, so your IP address is not transmitted to third parties.
  • There is no contact form. You contact us by email.

Consent under § 25 TDDDG is therefore not required, and no cookie banner appears.

3. Server log files

When you access this website your browser transmits technically necessary data, which our hosting provider stores in server log files: shortened or full IP address, date and time of access, name and URL of the file retrieved, volume of data transferred, notification of successful retrieval, browser type and version, operating system, and the referring page where transmitted.

Purpose and legal basis: delivery of the website, system security and stability, and investigation of misuse. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is the secure and uninterrupted operation of this website.

Retention: log files are deleted or anonymised after no more than 30 days, unless required longer to investigate a specific security incident.

4. Hosting

This website is hosted by a processor under Art. 28 GDPR.

Third-country transfers: where the hosting provider processes data in the United States or another country outside the European Economic Area, the transfer takes place on the basis of the European Commission’s standard contractual clauses pursuant to Art. 46(2)(c) GDPR and, where the provider is certified, on the basis of the EU-US Data Privacy Framework pursuant to Art. 45 GDPR. A copy of the safeguards is available on request.

5. Contact by email

If you contact us by email we process the data you provide — name, company, contact details and the content of your enquiry — in order to deal with your request.

Legal basis: Art. 6(1)(b) GDPR where your enquiry serves the preparation or performance of a contract; otherwise Art. 6(1)(f) GDPR on the basis of our legitimate interest in responding to business enquiries.

Retention: we delete your enquiry once it has been dealt with conclusively, unless statutory retention obligations apply. Commercial and tax retention periods — in particular under § 257 HGB and § 147 AO — remain unaffected and run for six or ten years depending on the document.

Note on email security: unencrypted email does not offer complete protection against access by third parties. For confidential information — terms, bank details or counterparty information — please agree a secure channel with us.

6. Counterparty verification within our services

In the course of our coordination services we process data about companies and the natural persons acting for them in order to meet our obligations under commercial law, foreign trade law and anti-money-laundering law — in particular the identification of contractual partners and screening against the restrictions in force at the time.

Legal basis: Art. 6(1)(b) and (c) GDPR in conjunction with the applicable provisions of foreign trade law and the German Anti-Money Laundering Act, and Art. 6(1)(f) GDPR as regards our legitimate interest in avoiding unlawful transactions. This processing does not take place via this website but in the course of a specific engagement; the persons concerned are informed separately.

7. Your rights

Under the GDPR you have the right of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and objection to processing based on Art. 6(1)(f) (Art. 21). A message to info@portofex.de is sufficient.

8. Right to lodge a complaint

You have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for us is:

9. No automated decision-making

We do not use automated decision-making or profiling within the meaning of Art. 22 GDPR.

This privacy notice applies from 8 August 2026. We update it when processing changes.
